7 Steps to Beating Overwhelm &
Boosting Productivity
I’m not gonna lie… there are times when I go into client homes and I feel overwhelmed for myself and them. Having spent over 10K hours working in all types of homes and businesses, it’s easier for me to take the emotion out and focus on results. We have a system for reaching the finish line even though it may be hard for someone on the outside to see that. There’s always inner calm when outer order is restored.
This job is very much a service position and can drain me mentally, emotionally, and physically. Whenever I neglect myself for the sake of others, I see how quickly overwhelmed my life feels. That is the time I uncommit from all things and regroup. I’m no good to anyone especially myself until I give myself the time to focus on the important before the urgent takes over. I also realize I can’t do it all myself, and that’s when hiring out is my best option. Looking at spending money as an investment instead of a cost puts the important - not the impulsive in perspective.
These are the steps I’ve learned from productivity experts. I hope this makes your life more manageable.
1. Do a Brain Dump
Write down everything on your mind—tasks, projects, goals, and to-dos. This releases mental load and frees up cognitive space.
2. Prioritize Tasks
Identify 3-5 big tasks for the day and categorize each task by urgency and importance:
Urgent and Important
Important, but Not Urgent
Urgent, but Not Important
Neither Urgent nor Important
3. Establish a Morning Routine
Start each day with a simple 5-15 minute routine (e.g., drink water, eat breakfast, stretch, meditate). This primes your mind and body for productivity.
4. Time Block Your Schedule
Allocate time for each task. Use a timer and try working in 90-minute blocks with breaks in between.
5. Connect Tasks to Your Goals
Before starting each task, ask yourself why it’s important. This reinforces the connection to your goals, which fuels motivation and productivity.
6. Limit Your Daily Task List
Focus on 3-5 major tasks and 1-2 minor ones. Keeping the list manageable prevents burnout and helps you stay motivated.
7. Review Your List at the End of the Day
Reflect on completed tasks and celebrate wins. Note what wasn’t finished, and use these insights to improve tomorrow’s list. Productivity is about focus, not task quantity.
